Records Storage Process
Each customer has certain needs or requirements. Citadel’s experienced records management specialists will work with your staff in order to reach those goals. We have the ability to provide detailed inventory reports, departmental billing, and destruction schedules based upon your needs.
Citadel’s computerized system provides fast and accurate retrieval or refilling for boxes and/or files. Each customer will receive a work order for each daily request listing the requestor, delivery location and type of request. When the client sends Citadel a request to email@example.com, they will receive an immediate response so that they know that their request was received. This system allows Citadel to track the status of a request.
Each barcode label is unique to your company. Our system recognizes that barcode throughout the record storage process. Our computerized system allows Citadel to see when the barcodes were issued, when the boxes were picked up by our drivers, when the boxes arrived at our record storage facility and where they are located in our facility. This provides a chain of custody to insure the security of your records.
Our records management specialists will assist our clients with indexing both their boxes and files. This allows the client multiple ways to look up their information. Once the indexing the box is completed, the client can make requests by their box number, barcode number, description on the box or even the destruction date. If you are interested in indexing the files, Citadel will be able to provide the information listed on the files as well.
Our delivery schedule is based on the client’s request. Since we offer 24-7 access to your files, we can pick-up or deliver on a scheduled day, standard delivery, same day delivery or rush delivery. Citadel has a fleet of trucks that will make the delivery on time and when you need it!
Citadel wants each customer to get the best value for the services that we provide. Citadel can conveniently provide any customer with storage boxes to make the record storage process in Chicago even easier. The boxes are specially designed in order to assist our clients with labeling their boxes in the most effective manner. There are areas specifically listed for box description, destruction dates and barcode labels.
